    Business letter

    A business letter is defined as any correspondence dealing with matters

    pertaining to business of any sort. These will generally follow a formal outline

    type and consist of an introduction, which brings forth the idea or suggestion, a

    body which explains the details of the proposed transaction, and a conclusionoutlining the pros and cons of such a business action. Legal letters and

    business letter formats and templates can be found at many online resources

    free for download.

    A business letter is a formal communication from an organization to its

    customers, the general public for their information, another Company or the

    Authorities. It is often written in a standard format, and in formal language,

    compared to a private letter between two people who are well known to each

    other. The business letter will show things like the address and best way to

    communicate with the business - by return letter , e-mail or telephone. In

    general, the letter will be directed to a specific person and be about one topic.

    Sometimes, the business letter will be looking for a response, but might be to

    give important information about an up-coming change of address or telephone

    number. The letter might give information about new developments - a new

    website; launch of a new product. To allow the sender to handle any response

    more efficiently, the business letter might contain key information such as an

    internal reference from the sender or related to the product in question.

    Letter of interest

    1. Contracting: Written-response solicited from contractors or vendors through

    advertisements. It is often employed in pre-qualifying the respondents for

    specific services, based on their resources and experience, before sending a

    request for proposals (RFP).

    2. Financing: Written communication issued by a lender in response to a

    request for funding a project or transaction. A LOI neither confirms a loan nor

    provides any specific terms under which the loan may be extended, but only

    states that the lender would consider that type of financing. See also

    Cover letter

    What is a cover letter? A cover letter is a document sent with your resume toprovide additional information on your skills and experience.

    A cover letter typically provides detailed information on why you are qualified forthe job you are applying for. Effective cover letters explain the reasons for yourinterest in the specific organization and identify your most relevant skills orexperiences.

    A letter of apology, or apology letter, is primarily written to try to salvage arelationship after the writer and/or their organization has made a mistake, orotherwise offended another party. Apology letters are used for both personaland business situations.

    It is important that letters of apology "ring true" with sincerity, or they will not betaken seriously by the recipient and will therefore fail.

    Invitation letter

    An invitation letter may be formal or informal. While a formal letter may bewritten by universities inviting parents for graduation ceremonies, an informalletter may be written to invite someone for a social function. Here, we provideyou with samples for both such letters, which may be modified depending onthe occasion.

    Resignation letter

    A resignation letter is a letter formally advising your employer that you areleaving your job. A resignation letter can help you maintain positive relationshipwith your employer, while paving the way for you to move on.

    While the employee may have told you verbally why he has decided to leaveyour company, you do not need to ask the employee to document his reasonsin the resignation letter. In fact, smart employees wont put anything in a

    resignation letter that might be misconstrued or taken personally by the readerat a later date.

    Letter of recommendation

    A letter in which a writer (usually a person in a supervisory role) evaluates theskills, work habits, and achievements of an individual applying for a job,admission to graduate school, or some other professional position.

    When requesting a letter of recommendation (from a former boss or professor,

    for instance), you should (a) clearly identify the deadline for submitting the letterand provide adequate notice (at least two weeks), and (b) supply your referencewith specific information about the position you're applying for.

    Farewell letter

    Complaint Letter

    Most people will need to complain about unsatisfactory goods or bad service at

    some point in their lives. If you are writing a letter of complaint, there are some

    dos and donts that can help you get the right outcome.

    Do

    gather all your facts before you start writing the letter, e.g. where and when

    goods were bought, any customer reference numbers or invoice numbers, or a

    record of any previous communication with the company concerned.

    get straight to the point and set out exactly what the problem is.

    give all the relevant information in a clear and logical sequence.

    state what action you want the company to take and when you expect them tohave done this.

    enclose copies of any relevant documents that support your case.

    Dont

    use abusive language, however frustrated or angry you might feel.

    allow yourself to get sidetracked from your specific problem into generalized

    criticism of the company or its products or services.

    send your letter without checking it carefully for grammar or spelling mistakes.

    Friendly letter format

    In the friendly letter format, your address, date, the closing, signature, andprinted name are all indented to the right half of the page (how far you indent inis up to you as long as the heading and closing is lined up, use your owndiscretion and make sure it looks presentable). Also the first line of eachparagraph is indented.

    1Your AddressAll that is needed is your street address on the first line and the city, state and

    zip on the second line. (Not needed if the letter is printed on paper with aletterhead already on it.)

    2DatePut the date on which the letter was written in the format Month Day Year e.g.August 30, 2003. Skip a line between the date and the salutation.

    3Salutation

    Usually starts out with Dear so and so, or Hi so and so. Note: There is a commaafter the end of the salutation (you can use an exclamation point also if there isa need for some emphasis).

    4BodyThe body is where you write the content of the letter; the paragraphs should besingle spaced with a skipped line between each paragraph. Skip 2 linesbetween the end of the body and the closing.

    5ClosingLet's the reader know that you are finished with your letter; usually ends with

    Sincerely, Sincerely yours, Thank you, and so on. Note that there is a commaafter the end of the closing and only the first word in the closing is capitalized.

    6SignatureYour signature will go in this section, usually signed in black or blue ink with apen. Skip a line after your signature and the P.S.

    7P.S.If you want to add anything additional to the letter you write a P.S. (post script)and the message after that. You can also add a P.P.S after that and a P.P.P.S.after that and so on.

    Friendly letter

    Friendly Letter is a type of letter written to people who are your relatives,friends, peers, acquaintances or anyone with whom you have a relationship. Itis not a prerequisite that the recipient has to be your friend; it can be anyonewith whom you are friendly. That person can be anyone whom you know wellenough to correspond. Friendly letters come under Informal Writing becausethere are no hard and fast rules for writing them. There is Nothing Officialabout them. And you dont actually need a solid reason to write a letter to a

    friend. You can write just to say Hello, Gossip or Share some memories.Most of the times a friendly letter is written to convey best wishes,congratulations, apologies etc. It is a mean to communicate and remain in touchwith each other. For some people it is socialising agent where you can confess,share a secret or misconduct, get views about certain topics, continue a chainletter and anything that pleases you.

    Condolence letter

    A letter of condolence, or condolence letter, is used to express sympathy toanother party; usually in the case of the death of someone close to the

    professional, effective letter of appeal, follow these step-by-step instructions.

    Format your letter in business style. From top to bottom, the layout of a

    business style letter should be as follows:

    Letterhead. If you already have letterhead paper use it; otherwise, create a

    letterhead at the top of your document. Include your name, address, phone

    number, and e-mail address.

    Date. When dating your letter, write out the full date instead of using an

    abbreviated form, for example "June 16, 2012" or "16 June 2012" and not

    6/12/12 or Jun. 12, 2012.

    Inside address. The inside address includes the recipient's full name and title,

    the name of the institution, agency or company, for which he or she works, and

    the mailing address.

    Reference line. This line starts with RE: followed by the subject of the letter.

    For example, RE: Appeal. You may wish to include your name and student or

    employee identification number, case number, or other information that will

    allow the reader to identify you.

    Salutation. The salutation should use the recipient's title and last name, for

    example Dear Dr. Smith" or Dear Mr. Smith. If you are unsure of the

    recipient's gender, you should use his or her first and last name, for example

    Dear Kim Smith. If you are unsure of the recipients name, "Dear

    Sir(s)/Madam(s)", "Dear Ladies and Gentlemen, and To Whom It May

    Concern are appropriate salutations.

    Body. Leave some space here, as this is where you will write the actual letter.

    Closing. Like the salutation, the closing should be formal. "Sincerely,"

    "Cordially," and "Respectfully," are all appropriate choices. .

    Signature block. Leave about four lines of empty space after the closing, so that

    you can sign your letter after have printed it, and then type your name exactly

    as you will sign it. For example, if you use your middle initial when you writeyour signature, use your middle initial in your type written name.

    Notations. If you intend to enclose additional documents with your letter, note
